| Requirements | The Healthy Homes Program Assistant will manage inbound calls for the Program Director and Program Manager, coordinate, confirm, and schedule appointments and reservations, maintain a communications log, create and distribute presentations (content provided by Program Director or Program Manager), organize and maintain program files, reserve and prepare accommodations for meetings (rooms, food, drinks, etc), participate in audits of files for quality assurance. Duties will also include preparing minutes of some meetings. |
| Skills | Assistant to the Healthy Homes Program Director will have a minimum of five years experience in an executive administrative support capacity (or similar), an associate’s degree in any discipline, and a demonstrated ability to successfully organize and communicate information and appointments which contribute to the success of the executive and business unit. The selected candidate will demonstrate exceptional verbal and written communication skills and an ability to thrive in high-pressure, deadline-oriented environments. This individual will also have the ability to understand and execute according to priorities established by the Program Director, differentiating non-critical tasks without losing sight of them and tracking each assignment through completion. The candidate will also possess the demonstrated ability to innovate within an established framework to accomplish objectives and overcome impediments to success. The ideal candidate will also have familiarity with administrative operating systems (payroll, financial reporting, travel reservations & accounting, etc). The candidate should have strong skills in Microsoft Office (Word, Excel, Powerpoint), Novell Groupwise (email & calendaring) and telephone systems (transferring and managing telephone calls). The candidate’s work history will demonstrate qualities of anticipation and proactive approaches to problem solving.
